Purpose of the Assignment
Our client is seeking an experienced accountant to reconstruct and reconcile their financial records from 2020 to date. Following a prolonged period during which the accounting records were not maintained in QuickBooks, the successful candidate will be responsible for rebuilding the accounting records, reconciling all major accounts, resolving historical discrepancies where possible and producing reliable financial records that accurately reflect the company's financial position.
This is a results-oriented assignment requiring strong analytical skills, attention to detail, and practical experience in accounting clean-up and financial record reconstruction.
Key Responsibilities
- Review all available financial records, including bank statements, Excel records, invoices, receipts, payment vouchers, payroll records, and supporting documentation.
- Reconstruct the company's accounting records from 2020 to date.
- Accurately post all historical transactions into QuickBooks.
- Perform comprehensive reconciliations of all bank accounts.
- Reconcile cash accounts and establish supportable opening and closing balances.
- Reconcile debtors, creditors, statutory accounts, and other balance sheet accounts.
- Investigate, analyse and resolve historical accounting differences wherever sufficient evidence exists.
- Identify transactions requiring management clarification and maintain a schedule of unresolved items with supporting explanations.
- Eliminate unsupported balances and correct accounting errors in accordance with accepted accounting principles.
- Ensure the QuickBooks records agree with supporting documentation and reconciliations.
- Prepare monthly trial balances for the reconstructed period.
- Prepare a reconciliation report highlighting adjustments made, assumptions adopted, and any outstanding issues that could not be conclusively resolved.
- Organise accounting records to facilitate future financial reporting and external audit.
- Hand over a fully updated QuickBooks file together with all reconciliation schedules and supporting working papers.
Expected Deliverables
By the end of the assignment, the successful candidate should deliver:
- A fully updated QuickBooks accounting system containing all historical transactions from 2020 to date.
- Reconciled bank accounts.
- Reconciled cash balances.
- Reconciled debtor and creditor ledgers.
- Reconciled balance sheet accounts.
- A schedule of all adjustments made during the reconstruction process.
- A documented list of any remaining unresolved items, including explanations and recommended corrective action.
- Financial statements or trial balances generated from the reconstructed records.
- A complete handover file containing reconciliation schedules & supporting documentation.
Qualifications
- CPA 2, ACCA, or equivalent professional accounting qualification.
- At least five (5) years' experience in financial accounting.
- Demonstrable experience in accounting reconstruction, historical reconciliations or financial records clean-up.
- Strong working knowledge of QuickBooks.
- Excellent analytical and problem-solving skills.
- High level of integrity, confidentiality, and professional judgment.
- Ability to work independently and deliver within tight timelines.
Success Criteria
The assignment will be considered successfully completed when the company's accounting records from 2020 to date have been reconstructed, posted into QuickBooks, reconciled to the greatest extent reasonably possible & supported by appropriate reconciliation schedules, with all remaining unresolved matters clearly documented for management.
